Account Deletion

This page lets you request deletion of your Villa Fragrances account and the personal information we hold about you. It applies to accounts created on our website and through our mobile app.

What will be deleted

When we process your request, we will permanently delete:

  • Your account profile (name, email, phone number, password)
  • Saved shipping and billing addresses
  • Your wishlist and saved cart items
  • Product reviews and ratings you have posted (or anonymised at your choice)
  • Marketing and newsletter preferences
  • Browsing and session data linked to your account
  • Any support correspondence not required for legal recordkeeping

What we are required to keep, and for how long

South African law requires us to retain certain records even after you close your account. We keep only what the law requires, and only for as long as it requires:

  • Completed order records, invoices and proof of payment — retained for 5 years from the end of the relevant tax year, as required by the South African Revenue Service under the Tax Administration Act.
  • Records required by the Consumer Protection Act — retained for 3 years where applicable.
  • Records related to disputes, chargebacks or legal claims — retained until the matter is resolved and the applicable limitation period has expired.

Retained records are stored securely, accessed only for the legal purpose for which they are kept, and deleted at the end of the retention period. This is permitted under section 14 of the Protection of Personal Information Act, 2013 (POPIA).

How long the process takes

We will acknowledge your request within 5 business days and complete deletion within 30 days. If we need more time (for example, to verify your identity), we will contact you and explain why.

How to request deletion

Choose whichever option suits you:

  1. Self-service (logged-in customers): Sign in, go to My Account and click Delete Account. Your account will be removed immediately, subject to the retention rules above.
  2. Submit the form below — works whether or not you still have access to your account or the app.
  3. Email us directly at privacy@villafragrances.co.za from the email address on your account, with the subject line "Account Deletion Request".

After you submit

  1. You will receive an automatic confirmation email at the address you provided.
  2. We will verify the request is from the account holder (we may ask you to confirm from the registered email).
  3. Your account and eligible data will be deleted within 30 days.
  4. You will receive a final confirmation email when deletion is complete.

Your rights under POPIA

Under the Protection of Personal Information Act, 2013 (POPIA) you have the right to request access to, correction of, or deletion of personal information we hold about you. If you are not satisfied with how we handle your request, you may lodge a complaint with the Information Regulator of South Africa at inforegulator.org.za.
